Job description Key Job Responsibilities Master Data Management and File Management Update all new joiner information in relevant templates for HRMIS and payroll Updation Verify all new joiner information and ensure documents are authentic as per of BVG inputs Comply all employee documents as per document check list and ensure timely scanning of documents and uploading it to employee document vault in HRMIS Ensure employee files are maintained sequential order and each file is complete with all current documentation. On boarding & Induction Assist recruitment team in preparing Salary stacks and Offers documents subsequently prepare of offer letter and get sign off from the employee in hard copy on Date of Joining for Corporate Office and within 1 week for branch employees. Prepare, Issue and file Appointment Letters to new joiners within 2 days of joining Lining up Induction Schedule with all concerned departments Completing the joining forms of new joiners Completing each employee file with proper joining forms and relevant documents Covering employee in Medical benefits Issuing ID Card / Bank Letter to all employees Payroll Collate and update attendance for all teams every week. Publish status on attendance gap to HODs every Monday for week ended Saturday. Ensure leave attendance and LOP inputs are validated for approval by 30th / 31st of the month, ensure first level verification of draft pay register and variance statement through prepared by payroll partner by EOD 2nd of the month. Coordinate with payroll partner to publish final pay register with tax position by 3rd of the month. Post management approval on payroll, prepare disbursement file and submit for approval by 1st half on or before 5th of each month. Post salary disbursement, confirm the pay register to the vendor and ensure they deliver compliance remittance register by 6th Day of the month Ensure first level of verification of compliance remittance calculation and submit for approval. Post approval, ensure vendor generates the accurate challans for each remittance by 8th day of the month Compliance Working together with the legal team to communicate the requirements associated with all applicable HR-related legal/regulatory and compliance programs Stay abreast on all employee-related legislative and regulatory changes and/or developments, and ensure changes to rules and regulations are restructured with HR systems, policies, articles, and practices Research changes in laws and regulations analyze their impact on the organization and communicate findings to stakeholders Responsible for drafting policy, process and procedure to improve on the compliance posture of the organization Responsible for preparing and delivering compliance-related training and communications to employees Carry out employee relations investigations as requested by the business Collaborate with other functional areas like Legal unit and other stakeholders in the delivery of compliance programs and training to employees Create a program for the applicant and employee testing (e.g., TB tests, pre-employment drug tests, post, incident and reasonable suspicion drug and alcohol testing) Input all interactions in the case management system and/or leave management system Responsible for the maintenance of OSHA and company-mandated reports on all accidents, injuries, and illnesses Discreetly handle sensitive employee reports or information. Reporting Compile a summary of the pay register and compliance remittances for Salary JV updates to Finance by 7th day of each month. Compile month end head count and Salary v/s Budget report by 6th day of each month Publish month end HR Report of previous month (paid month) by 6th day of current month Adhoc and Regular reports to be created with smart formula with turnaround time of not more than 1 working day. Separation Process Address the employee about the separation process and ensure sign off between employee and manager on the terms and conditions of separation (including handover schedule). In case of separation due to policy violation, ensure documentation as appropriately drafted, verified and Signed Off with employee and all supervisory personnel Conduct exit interviews on last day with separating employees Prepare input for full and final statements and ensure payroll partner prepares accurate calculations. Share FNF statement with relevant employees for sign off within turnaround times. Address all quires related to separation process and full and final settlement etc with minimal need for supervisory involvement. Life Cycle Management Handling and resolving employee queries and managing all communication on email through helpdesk@jifoods.in Issuing letters for various employees requirements Ensure account opening for new joiners Preferred candidate profile Holds a Masters Degree with specialization in Human Resources. Proficient in MS Excel. Added advantage if the candidate has experienced working in SQL/VBA. Must have experience in handling multi state payroll in India. Must be adept at common pay link statutory compliances viz. (PF, ESI, PT, LWF, TDS, Gratuity etc.) Must be good with personal organization and should be innately proactive rather than waiting to be instructed in detail.
