Workforce Planning and Budgeting
Design Organizational Structure:
Contribute to designing the hierarchy of people based on the organization's needs. For example, define the Job titles or designations based on organizational structure.
Prepare Job Description and Specification:
Systematically understand the job titles or designations and prepare the job descriptions (characteristics of jobs) and job specifications (attributes required for the job).
Pay Structure/Compensation and Benefits:
Contribute to designing the pay structure by conducting a salary survey and benchmarking the compensation and benefits provided in the industry. Then, finalize the pay structure for all the positions.
Recruitment and Selection:
Source and/or post job descriptions on portals like Internshala, Naukri, Monster, Linkedin, etc.
Match the applicants and/or sourced profiles with job descriptions and specifications.
Connect with the matched sourced profiles and/or applicants via email, message, WhatsApp, or call.
Prepare and coordinate with all the shortlisted candidates for further rounds of interviews.
Create/update an online tracker (Google Sheet/Microsoft Spreadsheet) and enter/update the candidates' information for MIS (Management Information System).
Employee Onboarding Activities:
Coordinate with new joiners joining formalities.
Prepare and release the letter of intent, offer, or an appointment to the new joiners.
Coordinate the induction and orientation process.
Strategic Human Resources Activities:
Performance Management System:
1. Contribute to design holistic performance management system which includes:
Ongoing performance feedback,
Employee inputs or employee self-appraisal,
Performance appraisal and review,
Performance improvement and development
2. Coordinate the performance monitoring process on a daily basis.
3. Coordinate the training sessions to improve the performance.
4. Coordinate the annual/biannual performance evaluation process.
Employee Relations, Communication, and Engagement:
Contribute to developing fair HR policies and ensuring all the employees understand and comply with them.
Manage and respond to all employees inquiries/queries and grievances via email and phone communications.
Coordinate online and offline meetings.
Design and distribute employee handbooks, newsletters, etc.,
Conduct online or offline surveys and polls.
Manage social media platforms for HR-related tasks/updates, like post success stories, event celebrations, etc.
Work on employer branding and digital strategies to enhance the employer brand.
Rewards and Recognitions System:
Contribute to design employee reward and recognition programs to recognize and reward work and behaviours that support/further the mission, goals, values, and initiatives of the organization
Human Resources Administration Activities
Employee Database Management System:
Collect and enter the new joiners information in the Greythr software.
The same employee information must be entered/updated on the online Google Sheet/Microsoft Spreadsheet for MIS (Management Information System).
Maintain the online employee access control system up to date.
Contribute to designing and automating the HR processes.
Attendance, Leave, Payroll, and Compliance Management System:
Keep the attendance and leave records of all the employees up to date in the GreytHR software.
Reconcile the attendance records with the leave records in the GreytHR before processing the payroll.
Reconcile the expenses incurred by the employees with original records and prepare MIS of it for management's approval. Once it is approved, enter the reimbursement amounts/details in payroll inputs of GreytHR.
Process the monthly payroll in the GreytHR and submit the monthly salary report to the Director for their approval.
Ensure that all types of government liaison work related to employees, like preparation and submission of various forms of PF, ESIC, PT, etc., are going on a timely basis.
Employee Separations Procedure:
Contribute to developing the procedure for involuntary and voluntary terminations.
Perform all the employee separation activities like conducting the exit interviews, preparing and releasing the full and final statement, relieving and experience letters, and completing the employee clearance process.
KEY COMPETENCIES, SKILLS & EXPERIENCE:
1-2 years of proven experience as a Human Resources Generalist or Recruiter.

Must be a graduate and/or have an MBA (HR)/Master's degree in Human Resources.
Must be willing to work full-time from office (10:00 AM to 07:00 PM) six days a week.
Must have excellent verbal and written English skills.

Must be tech-savvy (Know MS Excel, Word, Powerpoint Presentation and be well-versed with Web/internet and email communications).
Should have a good understanding of HR concepts and practices.

Must be a fast learner and should have the ability to grasp things and become productive.
Should have the ability to meet deadlines and effectively prioritize the assigned tasks.

COMPENSATION AND BENEFITS:
Compensation will depend on the skills and competencies and not based on the number of years of experience. The interviewer will define it based on the interview and, if required, based on the task assigned to the interviewee.
