Job Description of HR Executive PAYROLL (Incl. Attendance and Leave Management),
Purpose of This Role: -
To ensure accurate and timely payment of salaries to employees
Job Description:-
Department wise salary budgeting with an intention of reducing department wise employee cost vis-a-vis turnover of the company
Review and update salary structure yearly/ half yearly to ensure 100% compliance to minimum wages act.
To make sure 100% adherence of HR labour Compliance w.r.to PF, ESIC, PT, LWF, TDS etc
To ensure third party labour salary structure is 100% adhered to compliance requirements
To check and ensure new joinee’s salary structure is compliant as per norms defined
To maintain parity of salaries/designation within the organisation.
To implement and manage the gradation system of employees.
To ensure all provisions and filing with regard to Gratuity are being complied with.
Monitor and ensure yearly payments towards Gratuity and Staff Insurance is done.
To update and implement policies pertaining to attendance and leave management and ensure that all employees adhere to the processes laid down.
To be abreast with all provisions pertaining to Factories Act, Minimum Wages Act and Shops & Establishment Act.
To update HRMS portal as per the company policies on attendance and leave management.
To prepare Annual Holiday list
Monitor employee attendance on HRMS and ensure all regularizations are completed by HODs on time before payroll run.
Ensure all leaves logged into the system have Reporting Manager approval
Processing salary, payroll run on HRMS, verify OT calculation and salary pay-outs be be completed on time along with salary slip generation
Define and monitor OT policies and identify and highlight to the management in case of any discrepancy
Generate salary slips
Resolve all employee queries post payroll, uploading salary slip post salary. To make sure smooth functioning of attendance and payroll system
To generate form16 in HRMS system,
To check and verify the proofs submitted against the tax declaration as one time year end exercise.
To input monthly TDS challan details in KEKA and generate quarterly TDS returns to be filled by HR
To co-ordinate with compliance team for payroll checking
To co-ordinate with compliance team for payment and filing of monthly returns related of PF, ESIC, LWF, PT, TDS
Co-ordinate with management for salary increments and update salary structure into HRMS portal
Co-ordinate with support staff of HRMS portal for any support required w.r.t. payroll, attendance and leave management
To ensure all policies with respect to Minimum Wages,Maternity, Child Labour, POSH etc are being implemented and reporting/filing of the same is done as per regulations.
To handle PF and Gratuity claims
To manage IR effectively including handling any internal labour disputes/ issues arising from time-to-time
Timely calculation and payment of year end bonuses and performance incentives
To ensure Off Boarding (Resignation, Full and Final , relieving letter, experience letter) is done as per the defined process.
To make sure full and finals are done within 2 weeks of relieving date
Handle staff and labour grievances
To ensure cordial relations with all the employees and HODs
Implement other related HR related activities arising from time-to-time.
Skills and requirements: -
Proven experience handling payroll processing of the organization
Knowledge and hands-on experience of working with an HRMS system
Thorough knowledge of human resource management principles and best practices
Knowledge of compensation strategy and the ability to apply this information in a manner that is compliant with relevant employment law
Knowledge of Minimum Wages, Factories Act and Labour laws
Experience in labour compliance and industrial relations
Capable of compiling and analyzing employment data to guide strategic planning
Outstanding communication and interpersonal skills
Diligent and firm with high ethical standards
Educational Qualifications & Experience: -
MMS/PGDBA/PBDBM in Human Resources Management
3- 5 years’ ++ experience in HR role specifically handling payroll processing preferably in manufacturing/engineering/construction/ real estate industry
Expertise in working with Excel, Spreadsheets, Powerpoint for analysing and presenting data in various formats to the management.
