Position: Executive, Human Resources
Function: Human Resources
Reports to: Manager, Human Resources
PURPOSE
Executive, Human Resources is responsible to perform full spectrum of HR Functions (recruitment, compensation & benefits, payroll, training & development, performance management, compliance, and employee relations) which the details responsibilities include but not limited to the following:
RESPONSIBILITIES
1. Recruitment and Selection
Recruitment
a. Draft job advertisements
b. Assist in sourcing for candidates via advertisement and employment agencies.
c. Arrange interview appointments with relevant heads of departments and candidates.
d. Sit in interview sessions as and when required.
e. Conduct reference checks on candidates of choice as and where required.
f. Ensure procedure of recruiting staff is adhered to especially those related to approvals and documentations.
g. Liaise with selected candidates on matters such as salary and date of commencement prior to issuing employment letters.
h. Prepare employment letters for signature of relevant authorized personnel.
New Employees Onboarding
a. Inform and coordinate with relevant functions prior to commencement date of employment for new recruit such as Security & Compliance sub -function for security clearance and IT, Network and Value-Added Services function for email address and notebook (if necessary).
b. Ensure new employees sign the employment letter, fill up the necessary forms and receive job descriptions, uniform, T-shirts, medical cards, security access card and other relevant documents/items.
c. Conduct orientation for new employees.
2. Payroll
Handle full cycle of payroll process such as:
i. Compile, check or verify and calculate claims.
ii. Obtain approvals for claims.
iii. Check for unpaid leave deduction if necessary.
iv. Key in data into the payroll system
v. Update staff movement-transfer, re-designation, new and resigning employees.
vi. Print payroll reports for checking, verification and approval.
vii. Prepare relevant summaries for relevant departments.
4. Compliance
a. Liaise with statutory bodies on statutory payments and staff matters.
5. Employee Relations
Staff Welfare and Staff Relations
a. Company events Christmas party, Deepavali lunch, team building, staff engagement events/activities, etc
- Proposing new ideas for staff engagement program
- Preparing required budget reports
- Liaise with caterer, event organizer and other relevant vendors.
- Liaise with Finance and Accounts function for payments.
- Ensure smoothness of the events
b. Maintain and upkeep staff records and movement e.g. promotion, increment, resignation or termination, disciplinary actions and etc.
c. Attending to staff affairs e.g. new born baby, hospitalization, funeral and wedding.
d. Ensure information flow to all staff accurately and timely
e. Handle enquiries from employees pertaining to HR matters.
Employee Movement:
a. Staff confirmation:
- Ensure timely confirmation of new employees upon expiry of probation period
b. Resigning Employees:
- Ensure that resignation notice by staff is as per company policy. To facilitate in getting approvals for special requests for shorter notice period
- Check staff leave record for any un-utilized or over utilized leave. Adjust payroll accordingly.
- Ensure that resigning employees complete the Exit Interview Questionnaire and Exit checklist and return all company belongings
- Update relevant functions on resigned staff list.
6. Performance Management
a. Staff appraisals:
- Coordinate and ensure that appraisal is done according to company requirements and deadline
7. Training & Development
a. Sourcing of training required by different functions.
b. Recommend training courses.
c. Manage and propose usage of HRDF funding.
d. Coordinate staff training.
