JOB DETAILS              
The job exists to Manage 2 facilities admeasuring 50000 sq ft at Technopolis and Silver Utopia facility admeasuring other 20000 sq ft. To ensure Safety of Facility and provide services to the Employees of the Company providing a premium brand experience and ensuring that every employees goes home safely while services are delivered with excellence.Working according to BP SOP and guidelines to achieve the above. Key accountabilities Overall accountability of managing the entire Facility Management services of both HO & SU offices. Adherence to OMS office compliance requirements for both HO & SU offices Manage Company Leased Cars and the Pan India Sales Car fleet through leasing Agencies of ALD and Arval, by ensuring the fleet is serviced as per the contract in place, ensuring invoices are paid for the services each month on time, working out foreclosures when necessary, providing new cars to Senior Managers as per the HSSE Safety Standards and company laid down policy. Manage Carlson Wagonlit, the travel implant in the company by liaising with Global procurement for inclusion of hotels as per the requests given from pan India. Single point of contact between Global procurement and the company for hotel and airline bookings and acting as liaison for the implant payments etc. Managing the Mailroom to ensure in and outflow of mails is seamless and proper. International Mobility: - Support to inpats when they come into the country as well as ensure safe departure when they leave the country.( providing assistance for sim card, Corporate card ,petro card, company car, driver etc ). Employee Health management through programmes like the Annual Health Check-up organised by the HSSE Health Manager, co-ordinating this programme and ensuring all employees go for a health check-up. Also co-ordinating the Influenza vaccination programme for all employees Responsible for quality payroll deduction data’s to H.R. Operations monthly for salary deduction, which include, canteen deduction, top up payment to eligible employees, car deductions and Company Lease deductions as well. Manage / ensure contracts and AMCs for goods and services are negotiated and completed in all respects to maintain the machinery and systems in the organisation. Facility Management by ensuring delegation of job to the Facility Executive, Supervisors , Housekeeping Staff, Chamberbaids , electrician on board and Front office receptionist Training above personnel according to the SOP guidelines and BP Safety ground rules to maintain the facility with the best standards of hygiene and housekeeping. Ensuring Food, water and air are tested and provided to the employees Ensuring that Canteen Vendors provide nutritious and tasty food to employees by giving caterer feedback and ensuring employee satisfaction through a food committee and meetings with vendors. Managing Security Team through NISA and Site Safety ensured through Fire Alarm and Emergency equipment checking and training of the staff that handle this equipment through their respective organisations. Club membership worked out for eligible high level Managers as per the Rewards Policy. Train and support CBRE /Security personnel to understand HSSE standard and ways of working on both sites. Ensure 100% adherence to work permits of all vendors working on our site Area Authority for preparing work permits as per COW policy and BP guidelines Making the office a great place to work, through managing the company welfare to employees. Umbrellas in the monsoon/ Festivities nut box. Organising & managing all celebrations with energising activities and prizes to motivate employees during festivals and special days. Monitoring & managing Training programmes for contract staffs. Managing all events support to various functions (Marketing, Finance, H.R., GSC,GLT ) for their launch programmes/ birthday celebrations/ assistance to the Fun committee by catering for these occasions etc.
