JOB DETAILS
We are looking for a HR and Admin Executive to support the day-to-day activities of our HR and Admin department. Administrative duties include handling day to day office administration, Recruitment, maintaining personnel records, managing HR documents (e.g. employment records and on boarding formalities) and updating internal databases. Ideal candidate should be aware of HR & Admin procedures and juggle various administrative tasks in a timely manner. Candidate should be able to manage all administrative functions of group companies including market development administration.
Job Responsibilities:
Review Job advertisements prior to posting, screen & shortlisting of CVs, conducting telephone Interviews, coordination with Directors for Final round of Interview and ensure that documentation is collected and recorded/filed.
Manage the new hire orientation, Joining Process, Timely Induction
Issuing Appointment letter (mandatory bond), Increment letter etc when requirement arise.
Process & upkeep of employee personal file with relevant documents and details.
Upkeep of proper records and preparation of monthly Payroll.
Exit Interviews & Employee Final settlement.
Office Circular for accountability and further disciplinary actions.
Performance Appraisal Management System (Annually).
Processing of Annual employees benefit and keeping proper record of Leave encashment, Increment/ Promotion, KRA Incentive, Bonus if any etc...
Updating company policies from time to time.
Preparing Legal documents including notice etc
Work with Management to resolve employee relations issues pragmatically.
Ensure smooth running of all administrative functions in the office on daily basis and prioritize important tasks.
Assisting Directors/Partners as and when required in administrative tasks
Liaise with external consultant, like insurance vendors, AMC contractor (AC/Courier/Water purifier) and statutory and legal compliance consultant etc.
Supervise and manage all travel and hotel arrangements for staff and visitors including Directors/Partners.
Perform all administrative works as directed by Directors and partners.
Payment follow-ups with clients.
Positive attitude with clients and staff.
Manage marketing collaterals, pre-sales administration pre & post exhibitions
