Job Description Our Regional HR team is recruiting for a HR Administrator to form an integral part of the team. This is a key role where the successful candidate will be entrusted with providing full administrative and practical support on the transactional activities detailed below in a professional and courteous way to all stakeholders in the North East Asia & South East Asia region. HR administrative support is also required beyond the region and extended to other international units in the business. As such, this role will play a fundamental part in our outsourcing model and the successful candidate will provide a high level of service to stakeholders.
Key responsibilities/ Duties:
Assisting with the on- boarding of new staff upon commencement of employment including data entry into Mott MacDonald systems to facilitate user setup, liaison with employees to follow up new starter paperwork and coordination of information with key stakeholders
Ownership and administration of the HR and Employee Benefit systems e.g. ERP system and Medical Insurance
Document, file and accurately record contractual and employee changes
Preparation of Employee documentation e.g. salary certificates, employment certificates, embassy letters, probation completion letters
Reference requests (internal and external)
Absence Management administration e.g. sickness reporting, sick leave reminders, collation and filing of sick certificates
Assistance with employee leaver administration activities
Maintaining tracker spreadsheets and updating as required e.g. PDR (Performance Development Review), probations and mobility
Providing HR assistance on other ad- hoc projects and administrative tasks for key stakeholders as required, including Unit HR Manager, recruitment and HR teams.
Assisting the Recruitment and HR Team in selected resourcing activities
Candidate Specification Candidate Specification: Essential Candidate Requirements:
Educated to Degree level
Minimum of 4 years professional experience in a HR administrative role
Previous experience of operating in a Shared Services HR function
Operational experience of ERP and HR administration tools
Minimum of intermediate user ability on Microsoft office applications including Excel, with a high degree of data entry accuracy
Able to work autonomously and in a team
Strong level of attention to detail
Exceptional communication skills in both written and spoken English
Ability to form and maintain relationships with key stakeholders in various parts of the business (MESA region and other international regions)
Proactive approach to work schedules, and the ability to prioritise workload effectively to ensure tasks are completed
Ability to collaborate with wider teams and use initiative
