Job Description Qualifications Any Graduate - Any Specialization, Full time MBA not eligible Role Responsibilities: • Manage facilities and general administration functions such as House Keeping, Stationery, Travel arrangement, courier, AMC s, Repairs Maintenance of Electrical panels, inventory, etc. Manage equipment/furniture inventory, and improving office facilities. • Handle the entire spectrum of activities across providing facilities support and efficiently handle contractors, housekeeping /pantry services, mail room operations, Record management and house-keeping/tea/coffee/water services. • Maintain the care and use of housekeeping supplies and equipment, etc. Perform regular inspections for sanitation, order, safety and proper performance of assigned duties. • Managing all contract staffs (security guards office boys) - Monitoring and controlling all the activities of contract staff i.e. Security guards, Office boys, Pantry boys, etc. • Handling issues with respect to electricity, air-conditioners, water supply, managing office stationery, carpentry, plumbing, canteen / cafeteria management, etc. • Identifying dependable and cost effective vendors for various services and maintaining schedule of alternate vendors and vendor accounts, also responsible for releasing purchase order and handling purchase of materials. • Liaised with Vendors and Agencies for signing effective corporate deals and contracts for AMCs. • Issuing HR letters such as Appointment letters, Promotion letters, relieving letters, Experience letter, warning letters, Show cause letters, etc. • Accountable for managing end to end national and International travel by sending applications to relevant Embassy, Visa appointments, arranging meetings. • Sharing mailers for various events like birthdays, monthly engagement activities, fun activities, RNR, etc. • Responsible to keep the track of various MIS trackers with respect to current ex-employees information. • Maintain timely MIS database reflecting the trends developments regarding operations, vendor reconciliation, etc. for budgetary strategic review to enhance revenues. • Preparation of Various MIS / HRIS/ HR Initiative Reports etc. updating on real time basis. • Presenting reports to management on weekly, monthly, quarterly basis. • Taking care of joining formalities of all new joinees, ensuring documentation in compliance with the process. • Responsible for the overall execution of the Onboarding process as outlined, evaluating the success of the process, monitor analyze if the objectives of the process are consistently met make necessary improvements to enhance the onboarding journey of the employee as required. • Will also be responsible for Conducting Orientation Induction of new joinees, handling background verification, Employee ID creation, ID card distribution, workstation availability, etc. • Understanding Statutory compliance required under various laws on due dates (ESIC, PF, PT, Bonus etc.) • Timely submission of PF and ESI challan and declaration form of new joinees. • Handling statutory compliance filling of monthly statutory returns with in the due dates. • Processing PF claim of ex-employees Skills: • Any Graduate - Any Specialization, Full time MBA not eligible. • Pleasing Personality with Good Command over Spoken Written English.
